Creating, Editing and Deleting an Assessment


Overview


Assessments in Assessment Manager are configured by your Organisation or Aquatic Facility Administrator based on your organisation’s and aquatic facility’s subscribed assessment types. Each assessment type, including Workplace Health and Safety (WHS), Aquatic Health and Safety, Child Safety, Sustainability and Psychosocial Safety, is available as an individual subscription and will only be visible if it has been enabled for your organisation or facility.


When an assessment is first created, it is automatically established with a Starting maturity rating, representing the lowest possible level of maturity. This gives each facility a consistent baseline from which to begin reviewing performance and progressing its continuous improvement journey.


Assessments are completed and updated at an individual question level. Rather than creating a new assessment each year, Assessment Manager is designed as a living assessment system that can be updated as your facility improves its systems, processes and practices over time.


Step-by-Step Instructions


Step 1: Navigate to Assessments

From the main menu, select Assessments. This will take you to a dashboard showing all assessment types available to your organisation or aquatic facility based on your subscription.


Step 2: Review Your Assessment Dashboard

The Assess dashboard displays each available assessment type along with its current maturity score and the goal that has been set for that assessment. This provides a quick overview of current performance and helps you identify which assessment areas may require attention.



Step 3: Select Update Assessment

Each assessment type includes an Update Assessment button. Select this button for the assessment type you want to review or update, such as Aquatic Health and Safety, Workplace Health and Safety, Child Safety, Sustainability or Psychosocial Safety.


Step 4: Review the Assessment Overview Page

After selecting Update Assessment, you will be taken to the assessment overview page for that assessment type. This page displays the current maturity rating and goal in a graph, along with module-by-module ratings, top performing questions, lowest performing questions and any items that have not been reviewed in the past 12 months.


Step 5: Use the Module Menu to Find Questions

On the left-hand side of the assessment overview page is a module-by-module menu. Hover over a module to view the related questions, then select the question you want to review or update.



Step 6: Open an Individual Question

All assessments are completed at an individual question level. When you select a question, you will be taken to the question page where you can review the current maturity rating, read the maturity descriptions and update your response.



Step 7: Edit the Assessment Question

Review the question and select the maturity description that best reflects your facility’s current systems, processes and practices. The selected maturity rating should reflect the current state of your facility, not future intentions or planned improvements.


Step 8: Add Comments and Evidence

Where appropriate, add comments and upload supporting documents, photographs or records to explain why a maturity rating has been selected. Evidence provides context, supports internal review and helps demonstrate progress as the assessment is updated over time.


Step 9: Save Your Updates

Save your changes before leaving the question page. You can return to the assessment at any time to update ratings, comments and evidence as improvements are completed.


N.B. Deleting an Assessment

Assessments can only be deleted by a System Administrator. If an assessment has been created in error or is no longer required, contact support or your System Administrator for assistance.


Tips and Best Practice

Assessment Manager works best when assessments are treated as living documents rather than annual audits. Facilities should regularly revisit their assessments and update maturity ratings as new initiatives are implemented, evidence is added and systems continue to mature.


Pay particular attention to the lowest performing questions and any items that have not been reviewed in the past 12 months. These areas are useful prompts for improvement planning and can help ensure your assessment remains current and accurate.

Why does my assessment start at the Starting level?

All new assessments are initially created at the Starting maturity level to provide a consistent baseline for continuous improvement.


Do I need to create a new assessment every year?

No. Assessments are designed to be continually updated over time rather than recreated annually.


Can I update an assessment whenever improvements occur?

Yes. You can update individual questions, maturity ratings, comments and evidence at any time, subject to your user permissions.


Why can’t I see certain assessment types?

Assessment types are subscription-based and will only appear if they have been enabled for your organisation or aquatic facility.


Can I delete an assessment?

Only a System Administrator can delete an assessment. Contact support or your System Administrator if an assessment needs to be removed.
